Switch off all the pc’s and the server as well. Then restart your server and open your server and compact and repair your database, make sure that at this stage it is only the server which is opened. Make sure that you compact and repair your database every and of the day. The other users should please make sure that after using SASAMS they close off in a correct way, they must not just leave the system opened. Let me know if this assisted in solving the problem.

If this subject was assigned to learners previous years you wont be able to remove it because it is on archived learners with their marks. I would suggest that you leave it there as it does not affect anything if it is not assigned to learners.

Check that the Spread is installed on the Client PC, Compact the database (16.4) Check that you have no user session data locks (Menu 16.14) – if so delete them all.

You cannot “paste data” in another computer.
All users need to have access through SASAMS to the same database. (Usually a shared network)

SASAMS is a weighted mark…..IT WILL NOT ADD UP MATHEMATICALLY
Take the % of the weight of the mark for all tasks and add them up.
What grade/s and subject/s are affected.

If your answer is yes, you are probably missing a .dll file in your EdusolSams folder.
These .dll files are installed when you install from the original installation.
ijl11.dll is probably the missing file. Check for it in the Edusolsams folder.
If it is not there download it from here and copy and paste it into the folder.

Yes you dont have a logo on your SASAMS…..no worries you dont HAVE to have a logo.
If you have a logo, save it with the name “Picture” in the edusolsams folder.
If you dont have a logo, open up paint and save a blank picture. Make sure the name is “Picture’.
Both methods above – make sure that the picture format is a .bmp file.

You can use many graphic programs to create a Picture.bmp file – as save it in the EdusolSams folder.

In the EdusolSams folder right click on the TimeDesign.exe file and run as administrator.

Make sure both laptops have a mapped drive to the shared database. ie they must both use the SAME database !
The new patch has changed the marksheets for senior phase Technology instead of entering mini pat (70) and test (30). i now need to enter test 30 conerted to 100. this is different from my marksheet for caps

we were told we could download the new sasams patch via the thutong website. i have tried doing so on numerous occasions however when i run it it runs normal and extracts required data but when we open sasams it still runs as version 17.0.0 instead of version 17.1.0
what do i do about this?

It is quite simple, the shortcut you are running from is linked to 17.0.0.
That is why I always rename the EdusolSams.exe file to the latest patch number.
Delete your current shortcut and create a new one from the EdusolSams folder.

The answer is NO
Unless you are on a Network where the Database is shared. ie You HAVE to work on the same Database. You cannot work on two databases and “join” them afterwards.
Alternatively you can export the capture sheets to excel, capture on different machines and then import the sheets later. Note you cannot change the name or structure of the exported sheets otherwise they wont import.
Turn marks security on otherwise the tabs wont show.

we have recently networked our computers to ensure educators are able to capture marks efficiently, however now when opening up the database it gives an error description of cannot open database”. it may not be a database that your application recognizes or the file may be corrupt.

You need to install the latest patch (17.0.0)……this will include some of the printing files, like CrystalUpdate.
Hello. I have a challenge with regards to printing ark sheets. I printed mark sheets for mark entry. What buffed me is that only one subject of one class in a grade of 3 classes does not want to display the list of learners for printing. It gives an error message. All subjects in that grade and class printed. I even checked if all learners are allocated the particular subject and yes they are..
Check the security data lock for that subject may be it is locked
How do I unlock it?
Go to 16.14
Untick auto refresh
Click on all sessions one at a time and delete
You will not be able to delete the blue session as it is the one you are currently logged on as.
Once you have deleted all sessions
do a compact 16.4

All my teachers have entered their marks for term 1. When I go into menu 12.17.18 I can see all the marks. However, in the individual subjects (menu 12.3.12) no marks show – only -1. In menu 12.7.16.3, everything is red with a -2, but there are comments saved.
I have tried maintaining the sessions (menu 16.14) and compacted the database (menu 16.4).
Any assistance will be greatly appreciated as I am now stuck.

Data mismatch means that the database patch is not the same as the SASAMS version you are trying to open it with. ie The database might be 16.3.1 but you are trying to open it with 16.3.0

Is there a function on SASAMS for reporting on learners who are too old for the grade…a list to export.
Not that I am aware of….but will check.
If you use the Valistractor to check your data quality, it produces a window indicating over age learners (“x” amount of years behind)
The Valistractor also display this information on a dashboard.

In the eastern Cape we do not run the SNAP survey, we simply do a monthly submission using menu 17.

I made a mistake to do promotion first ,I forgot to deploy the database for term 4 now am stucked I can’t print the reports for the whole school because all the learners are moved to another grades pls helpline
No you cannot reverse the promotions process.
As we keep on saying, Promotions is the last thing you do in the year. Finish financials and reports and schedules etc etc
Then do promotions.
Hopefully you made a copy or a backup before you did promotions……as was suggested.
If not there should be a database in your Backup folder called “prior to promotions”.
Use that to print reports and then redo Promotions.

You cannot change the mark of a learner as the mark is a compilation of all the tasks. You will have to adjust all the tasks.
It is preferable to change the promotion decision in 12.7.18 and give the reason for change and add a comment under the district comments (top RHS tick box)
I cancelled wrong cheque number to unused cheque,so help me what to do

Try asking people in the know about finances.
Delete the transaction in 11.4.6. It processes to 11.4.7. In 11.4.7 select the transaction, select process item. You should be able to recapture your transaction correctly.

Simply select Term 4 and do Mid term validation, then Extract.

The totals are correct…..remember they are weighted totals and it is the term %……this means they will NOT add up mathematically but are weighted.
Score/Total x weighting…….for each task, add tasks you will see the total IS correct.
Remember once you have saved in 12.3.12 you must save in 12.7.16.3

I am running Windows 10 and have set all the exe files in the folder to have admin privileges. I have also given full permissions to the database files in the Data and Backup folders.

There’s your answer. Go into the General Info tab and complete all the required school information. In fact, gi through each of the tabs in the order they are outlined in SA SAMS and fill in ALL the required information to have a proper working application.

Remember the database MUST be in the C:\Program Files\EdusolSAMS\Data folder for the General Settings tab in General School Information

Hi admin… I recently had problems with my laptop then I backed up my sa-sams dB on my external HDD…then fixed my system… But then after re-installing sa-sams then copying back my existing dB to data folder..when I open it…everything is empty.. You obviously did not copy/backup the correct database. You probably copied the ldb file and not the mdb file. Send your database and I will see if I can recover anything.

How do I get SA Sams working on a Windows 8.1 computer? We have had someone come in from the education department and he has tried to help but to no avail.Error 70 keeps on popping up that says Permission Denied/ Location: frmStart/ Procedure PatchBackupDatabaseRoutine. He has tried our data on his laptop and it works but when we try it on our pc it doesn’t. What must I do to get it to work?
Setting up on an 8.1 PC is no different from any other version of Windows.
1. Install from the original CD to C:\Program Files\EdusolSAMS\
2. Install the latest Patch (16.1.1) to C:\Program Files\EdusolSAMS\
3. Install the Spread (6.0.57)
4. Make sure your database is in the C:\Program Files\EdusolSAMS\Data folder.
hie admin i have got a problem with my valistractor it says an error occured exporting SA-SAMS DATA. The value for column `weighting `in table `subject Criteria is DBNull,after that it also shows a message which says An error occured running the report.There is no row at position 0
You cannot have a “Null” weighting in the Subject Criteria table…..send to your District office to be fixed.

How do I backup SASAMS to an external hard drive.
Simply copy the database and paste it onto the external. On a single user PC/laptop, you should find the database (.mdb) in the C:\Program Files\EdusolSAMS\Data folder.
If you setup is on a Network, you will have to ask the system administrator where they have placed the database.
Can someone please help on how to maintain learner attendance on SASAMS. IN REALLY STUCK

Even if there are no absentees – you still need to save.
NB: You need to save every week from term 1 the first week to present.

Unfortunately – No you cannot design your own reports cards, however you do have a choice of 13 types of report cards available on SASAMS.
Alternatively you can export the mark schedule to excel, and do a mail merge to your report card you have created.

I have captured Marks for home language two leader’s are converted to -2s and cannot because the whole column is red and the cells are inactive.
Ensure that you have saved the marks for all learners after capturing and check if yoy still have the -2. The other thing is to verify if all activities for all learners are captured and saved. Once one activity is not captured,the whole subject is affected.

How do i delete previous financial periods and start over? We have all our books to restart it. Reason being it was not correctly captured by the previous administrator. When I try deleting the period it says ‘You have not deleted all the transactions for this year from the archive so you cannot delete the financial period.’

Somehow you need to balance the last period and start again.
You can only delete all the entries in the back end of the database, but it is risky and needs to be done by a Department official.

1. Make sure the Folder in which the database is or the database itself has the “full” security permissions for each individual user not just a group.
2. Have you done a compact and repair of the database? Menu 16.4.
3. Make sure all client computers point to the same database on the server which has full security permissions for each individual user.
4. Do the same on the client PC (Full security permissions for the EdusolSams folder)
5. Is installation on all client PC’s correct?
5.1 Installed in the Program Files and NOT Program files (x86) folder.
5.2 Installed from the original CD, then the latest patch 16.0.1 then the Spread 6.0.57……..all in program files.
5.3 Check the Grid version in SASAMS under “about” to see if the spread is installed on each client.
It is difficult to analyze your problem from a distance. But the compact and repair usually solves this issue……send database if you cannot do it.

Hi there sams support. I am on the 16.0.0, we have a client server network with 4 laptops as clients and a server with sams loaded. The network is on 16.0.0 . Edusol sams folder is shared on server and mapped on the clients but as we try to access the information on the server, after login details it carries on as if it will open and pops error70 on all the mechines, including the server.
The pop up is as follows

Hi! I have experienced it several times. Your database has been corrupted and need to be repaired. The database is in Microsoft Access which has the self repair but you need a password to open it. You should get this sorted by your district or they can give you the password if they wish to do so. Good luck.

Good morning I am using 15.3.0 and captured marks well in term 1 but now I have a problem with term 2 Isizulu home language Grade 7 . There is a task that is suppose to extract marks from term 1 that is working fine but there is another that has to add oral from term 1 and oral from term that is where I have a problem it does not add it leaves a -2 which prevents the computer from calculating the totals up to 100% column.

Oral marks assessed at the end of the year as an accumulative mark…..check with your subjects advisor and the CAPS Policy.

We have a central computer connected to a network with the database on it. Four laptops connected to the same networking through wifi have the exact same SA-SAMS installed (15.3.1) and they access the database from the central computer. It does not allow editing of that file though from these computers. It reports Err:3045 – file already in use. The
Make sure the folder and file security permissions are allowed for all users.
I had to do a workaround. I created another folder in the root of drive C: and put the database in that folder. Created a home group for the users since it’s a non-domain system. I found no way to prevent it giving errors related to the users not being able to edit the central database.

Remove your logo and reload it. make sure to reduce its size.

1. Calculations only take place after saving in 12.7.16.3
2. The totals will not add up mathematically on 12.3.12 as they are weighted totals.
3. Check totals in 12.7.18.

We have a problem withSA SAMS’ Parent Information module. When clicking Parent Information [3.1.11], There is no parents listed under ‘Parents of Active Learners’ or Archived Parents. However if you click on any other tab that lists parent information the parent info is listed with their linked learners. It only does not display under 3.1.11 Parent Listing per Family.

can’t automate my time table its says, “Exception EOlesystem Error in module TimeDesign.exe at 0012DB35. Error accessing OLE registry.” Im using windows7 with Sams version 15.1.0
Go to the EdusolSams folder and right click on the TimeDesign file. “Run as Administrator”.
This should solve your problem.
Time table. I use version 15.3.0. I fed the verification wizard with correct number of periods per cycle but when it completed the time table it leaves free periods and less number of periods for teachers. Especially in the intermediate b phase maths and home language. Please help.

Your database should be in the data folder in EdusolSAMS…….If you are on windows 7 or above, it could be hiding in the Virtual store.
Quick solution is to Deploy your database where it will be in the Export folder. From there copy it to a folder on the desktop.
Next time you use SASAMS, use “on the network” and browse for your database on your desktop.
Hi . Two questions
1) Why does the department insist on having laptops to capture Sasams data? We work using a network where the database is kept save on our main server.
2) Why are there no training videos on the main site?
The Department does NOT insist on using Laptops, you may use whatever you like as long as the Database used is the same on all devices.
Training Videos are available and are rather large in size so take a while to upload and download. Ask your District co-ordinator fo a copy of the DVD.

You should not have to change the weightings in SASAMS as they come according to the CAPS Policy documents. If you edit a task, the weightings should be fixed. If someone has changed them in a previous version or done an “auto calculate”, you will need to edit the task and enter the correct term weightings according to the CAPS Policy. SBA weightings are fixed according to CAPS. If these are incorrect, a departmental official will have to correct them in the backend of the database. Consult your local District Office for help.

Normally if you press ok, you can continue without any problems.

I am the data capturer on SASAMS. I want the teachers at the school to have access to their marks on 12.3.12 only to export and not to capture or make any changes. If I switch the marks security function on for the teachers it also excludes me from capturing marks. Is there any way that the marks security function can be on for the teachers and off for the administrator?
In Marks security, add yourself as the sole person to capture for all grades and all subjects then turn marks security on.

Have you assigned only yourself to capture every subject for every grade? (In the marks security module) This must be done before turning marks security on.
Only you will have rights to capture.

If you have a clerk at school who attended all SsSams workshop, is there a need for an educator to enter the marks on Sasams? Or the clerk should do it?
All Educators should be trained on SASAMS and should be accountable for entering their own class/subject marks.
So the clerk should train the educators? We thought since the clerk is the one going for workshop, he should be the one entering the marks. Teachers don’t have time to enter marks since they are busy teaching. And the clerk is not doing anything at school.
SASAMS is a Schools Administration system for the whole school and not for any individual. The Curriculum Module should be the responsibility of the Educators. They should record their assessment on SASAMS. You cant say the Educators have no time as they have to assess and record, so why not record in SASAMS?
Each school is unique and each school manager should assign duties and manage according to their resources and staff. The point is: SASAMS is a SCHOOL MANAGEMENT system with numerous modules. All staff should be responsible for the module that is related to the work/duties they perform at the school.
Who is responsible for capturing of learners marks in a school?
The SASAMS co-ordinator and all educators are responsible for the capturing of marks. Overseen by the HOD’s and the Headmaster.

I have entered a learner but it says invalid ID number… this learner has transferred to another school but has come back. But at that time I entered the learner on a new admin number instead of restoring the learner from archives…….How can I rectify this problem. I tried deleting it and restoring it does not work.

This can only be done in the backend of the database itself. Your District EMIS official should be able to do this for you.
Alternatively email us your database with all the corrected details and we will do it for you.
This would mean downtime for the school as they will not be able to use SASAMS until the database is returned.
Check if the date of birth corresponds with the id number. Also check if the gender corresponds as well. Female numbers start with numbers from 0 to 4 after date of birth and males start from 5 to 9 after date of birth. This is what normally creates challenges.

Hi I’m currently have 14users on different pc’s all connected to the server or in your case the main pc of the 2. Share the database folder and map the shared drive on the 2nd pc”client” and when you start sams up you have 2 options for where the database is. 1st is “on this pc” and 2nd “on the network” … Then choose option 2 and browse to the maped drive in my computer and select the database. Then its all the same from there.

Just remembered you cant have 2 databases… Delete the one on the client pc and only work on the network pc database. As you cannot merge 2database files. And remember you backups

Sorry no you cant do any imports into SASAMS.
The reason for this is that there are too many fields in SASAMS and an import would result in too many gaps in the info. The time taken to fill in the gaps would by very time consuming, so it is really better to capture from scratch.
I AM STRUGGLING TO CAPTURE GR R TASK, FOR TERM 1 TEACHERS SAID THEY ARE ONLY DOING ORIENTATION FOR TERM 1, SO THEY DON’T DO TASK. I DD IT LAST YEAR BT THIS YEAR AM STRUGGLING TO CAPTURE THEM. CAN YOU PLEASE ASSIST ME WITH THIS SITUATION.

Should you wish to capture marks for Grade R, you will need to add your own tasks and then capture them.

That is an installation file that is missing.
Please re-install from the original installation disc/file as it contains all the .ocx files and .dll files.
I trust the spread is installed and the path of EDUSOLSAMS installation is correct.

Should you not be able to Login, you will have to link up with Team Viewer and I will do it online for you.
Alternatively send me your database and I will do it for you.
Solution: You need to reset the Administrator Password and login as Administrator or if you are a user that can login, check what level your user rights are. Reset these rights appropriately.
I have been trying to archive an educator who is no longer part of the school. The system doesn’t allow me. What should I do?
You probably dont have the user rights to archive.
Change the Profile from 0 to 7 ie Principal Management.
Change the Password for the user “Administrator” then login as “Administrator”. You will now be able to archive learners.
Administrator has the rights to archive.

This means that you database is already patched to 14.4.1, and your version of SASAMS is 14.4.0
You need to install the latest patch 14.4.1.
Learners are correctly entered according to their respective grades but when marking the register some learners do not appear. They are appear in the learner listing.what is your take on this?
Well its difficult to comment without seeing the database. There is obviously issues in the learner movement table. Usually where learners have been captured twice. This occurs when future learners are not processed, but recaptured.
Without you database I cant help you. Have you made sure the date of entry is entered correctly? Menu 3.1.1 Registration date.
I have finished mark schedules for term 1 but it doesn’t want to show comments although I have followed all the steps. It also doubles the subjects. It shows marks to one subject the relevant one but I am not comfortable. Please help

Firstly only people who have been granted permission to use those modules will have access to them. See Module 16.11 and 16.12.
Secondly it depends on your network setup, ie if the database is shared to all users or if users login to the server where SASAMS is installed.
If it is the latter, there should be no problems.
If the database is shared in a shared folder, you could try sharing the Library and TT databases in that same folder……..this “might” work.
Since the Library is specialized and usually only used from the “Library” computer, it is safer to have the Library database on the Library computer in the EdusolSams Data folder.
The TT is not usually something that everybody uses and should not be universally accessible, hence I would ensure that the TT database is in the EdusolSams folder of the person who uses the TT module.

Thank you so much for your response. We work on our database being assessable to all staff etc.. and it does make sense that only one workstation has access to the Library and TT module. However we have had to replace the workstation in the library and now we canât access the Library information…we tried coping all the files from the old workstation but still we canât access the already saved information?

I have already assigned learners to classes . Learners are still in black not blue. Why?
If you place learners into a class and SAVE, when you return to those learners, they will be in BLUE and you will not place them into another class. You will first have to remove them (BLACK) and then replace them.
ie: Go out the screen and go back in….placed learners will be in BLUE.

Remember on the server you open “a database on this computer” and on the client computer you opens the “database on the network”.

All you need to do is install SASAMS on all the machines, with the database on the server machine.
Make sure when logging in from the client (laptops) that you access the database on the network (ie on the server machine)
All machines must access and use the same database.

This should have been done in 2014.
You will have to set your computers clock back to 2014 to do promotions.
Proceed to menu 3.19, select the year and class and tick or untick for promotions.

Make sure you have saved every subject for the grade in 12.7.16.3
Move onto the latest patch 14.4.1, it has many bug fixes.

Computers Gr1-3 is NOT an official subject, so you need to assign a code to it. (8 digits)

I need help with printing – when I try to see a report there is an error message
depends what that message is:
Firstly make sure you have saved in 12.7.16.3
Secondly make sure that the Spread is installed.
Go to C:\\ProgramFiles…….and you should see a folder Spread 6.0.57
If you dont see this then the spread is NOT installed and you wont be able to print.

Our groundsman, cleaners and administrative staff have certain days that they have to work during the school holidays. Leave may be applied for during this time. When I enter the leave data the system will not allow me to indicate leave if it is taken during the school holidays. How do I get around this? Our groundsman is employed by the Department of Education and our cleaners and administrative staff are employed by the School Governing Body.
In menu 1.6, if you have setup the terms with holiday breaks, it is assumed you are automatically giving the staff leave over this period. Should staff be required to take leave, then they do not have specified “terms” but they work the whole year. This setup depends on your school policy and terms of employment of all staff. ie the work agreement / contract.

To move from one computer to the next, you need to take the database to the other computer. That is: IMPORTANT: you can only work on one database.
So, copy the database from C-programfiles-edusolsams-data – (your database .mdb) to your external.
Paste it in the same folder on the other PC and continue working.
If you go back you will need to do the same to get the database back to the original computer.
How do we print out a monthly blank attendance register (3.3.1)? So far we have only been able to print weekly registers and when we attempt to print monthly ones, there appears to be a problem.

Once you have added topics to all the tasks and saved them all, you then do weights and validations, save them, then you can capture marks !

Hi, I have downloaded the SA-SAMs program on my laptop. It is the version 14.0.0.
I am having a problem with the database. It does not update in my program files folder.
So the only database that is stored is the one which was downloaded the day i loaded the sams on laptop.
Please help and advise what could be the problem and what do i need to do to update it.

You should not be worrying about a database.
You need to update the program (SASAMS), and the program itself will update the database.
Make sure: download and install the original CD. C:\Program Files\EdusolSAMS\
Then download and install the latest patch (13.6.1) C:\Program Files\EdusolSAMS\
Install the spread (6.0.57)
The database is found in C:\Program Files\EdusolSAMS\Data
BUT you do NOT have to touch the database…..it updates after each patch automatically.
If any of the installation paths are incorrect, the program will NOT function properly.

The laptop that im using for SASAMS has had multiple problems, so our IT specialist requested us to format the laptop.
Before i done that, i save all the programs im using (including SASAMS & our database) on our external hardrive.
The problem is now, i want to re install SASAMS, it installs but the icon doesnt appear on the desktop and if i open it from program files, it says there is a file missing/error.
Im not sure what is happening, do i have to get an original disk for SA-SAMS or what am i doing wrong. I also tried downloading it from thutong but the problem persists.
Please help, I have alot of work to do regarding SASAMS and time is running out.

its always best to do a fresh installation if your system had just undergone an Operating system upgrade or was formatted. Copying the old installation might cause SA-SAMS to not function properly because there would be some missing installation files. Download the original installation disk, and make sure your installation path is C:\Program Files\EdusolSAMS\ not the C:\Programs Files (x86)\EdusolSAMS\
After that try to install your patches from Oldest to newest.

I have installed version 13.6.1 on our school’s computer. However, when I click Ordinary Snap Survey it says file not found. I have tried to reinstall SAMS but this does not work. What should I do as I need to submit our Snap Survey?
In addition, when I try to print monthly registers for one class, the list comes up blank. However, when I print weekly registers, every student shows. I’m a bit confused?

You have to download the EMIS survey tool for 2014 on the Thutong Website and install it on your system then go to C:\Program Files\Emissurveys\ and copy two files from there namely – Emissurveys.exe and SurveyDatabase.mdb and Paste these two files on your EdusolSAMS folder which is nomally on – C:\Program Files\EdusolSAMS\ – if it says there is already an identical file, just choose Copy and Replace/Overwrite the existing one. Once you are done you can Open your Survey Tool through SASAMS on Export data.
Can you explain your second question a bit more. Are u using Sect. 3.3.14? if so are u sure u had already marked attendance for that period you tried to print

We did our update for SAMS to 13.5.0 and afterwards I could not Archive pupils that have left. I have now done my roll over for 2014 to new grades, and have all my pupils that have transferred still on my total! The Archive option for pupils is there but I cannot use it. Please assist!! The latest version of SASAMS is available on the Thutong web site, it is version 13.6.1.
I suggest you upgrade and then try and archive the learners.
If this does not work, you will have to send me your database with a list of all the learners and their accession numbers that need to be archived and I will manually change them in the database.
Just reporting a problem:
We started the new year by trying to do promotions, but were unable to do promotions until we set the computer’s date back to 2013. We then could reset the computer date and everything was OK. This got the job done, but seems like a cludge. Promotions require circuit approval so we waiting until the new year to actually do the task.

I did the upgrade as suggested, but I am still not able to archive pupils. I can send through my data base to you, but what will happen if any of our students transfer again? Will I have to keep resending the database for updates? Which would make it impractical in the long term. Is there no other way to fix this problem?

I previously posted that after we updated our SAMS I couldn’t Archive pupils. (My marks Archive is also blanked out so that I cannot use that either.) We have upgraded to 14.0.0 in the meantime, and problem still persists. It was suggested by the person responding to my problem here that I send my Data base in so that it can be removed manually. Hi, I am adding my data base as discussed for the pupils that need to taken off. We started the year with 3 grade 11 classes, 11A, 11B and 11C. 11C pupils were decided to be devided between A and B so became redundant. I have moved all my pupils that I could not archive there. So, in other words, all the 11C’s are my transfers and pupils that left at the end of 2013. I am adding a classlist with their info as well as my database. I’m not sure the .mdb or .ldb, so Im attaching both.

You need to check the previous terms marks. Somewhere you have entered a mark greater than 40. Then remember to save all the terms marks before saving the cycle. (I trust you are using version 13.6.1)
You need to look at the total marks for the activity. You cannot enter marks that are above the total marks. Return the mark sheet to the teacher to correct entries.

I have just finished promoting my learners and my Principal has found two reports with mistakes on them. On both reports its says condoned when it should say promoted. Is there a way to make changes once I have promoted my learners? Is it possible to reprint reports after the student has been promoted? I also see that before the promotion a backup was made. I foolishly didn’t make a copy of the backup path and so now can’t even find that. Do you know where this backup can be found? We are still using version 13.3.3.

Hello all. I am using Version 13.6.1, After upgrading, i entered foundation phase marks. I followed the manual on how to maintain the programme of assessment,validate,capture, maitain results per topic. When i attempt to maintain results per subject, it gives me an error 2147417848 message:Automationerror:object invoked has disconnected from its clients location. from assessment cycles outcomes procedure. load learners routine. i need to produce reports by the 29th to have teachers ratify them before we issue on the 4th December. PLEASE HELP ME!!
Please check where you setup the assessment cycles and ensure that the 4th term is ticked as the cycle that is used for promotions : 12.7.11
Please go to menu 12.7.11 and ensure that your final cycle is ticked as the cycle to be used for promotions.

2. Hopefully the system made a backup before promotions. You can find this at C:\Program Files\EdusolSAMS\Backup

I captured marks for grade 7 before I use latest version, so now marks are not there, so. Please help me.

Cannot capture term 4 marks per subject for foundation phase to create a class schedule. Intermediate seems to work. (Patch 13.6 is installed) (Thanks all the work you are doing)
Also for Grade R and grade 7, I cannot validate term 4 tasks b/c term 4 total exceeds 100.
We used to say RTFM! Which stood for “read the fine manual” or something very like that. The 13.6 manual addressed the problem with validating term 4 tasks. Thank you! (At my school and my home, we do not have direct internet access so sometimes my requests are 24 hours out of date – which is why I had not read the manual)
The grade R Sepedi problem still remains. When I try to enter marks for Grade R Sepedi on 12.3.12 (or use the Capture Marks button on 12.3.11) I get “Assessment symbol/version mismatch for your selection”. I also noticed that the blue line at the bottom of 12.3.11 for Sepedi Grade R says “KTS – Convert Marks using Weight 100%” instead of “SBA Year Mark – Convert Marks using Weight 100%” which is what I see for all other subject/grades. The person who relays my comments has a .docx file with screen shots, and could send it if you provide address. Again thank you for everything.

I have SaSAMS installed on a Windows 7 32-bit computer acting as a server. When the server records an entry in the database, the other computers connecting to the server cannot see the updated entries in the database. The two computers connecting to the server are Windows XP and Windows 7 64-bit respectively.
Please assist.
A few questions here:
How do the remote computers connect to the server?
Make sure all users are sharing the same database. (You can only work on one database)
If users (other computers) have SASAMS installed and they share the database, make sure that the database is in C:\\ProgramFiles\Edusolsams\Data, and not in Compatibility files (Virtual Store)
If all users are sharing the SAME database, all users will see changes as they occur.

The computers are connecting to the server via the C:\\ProgramFiles\Edusolsams\Data share. They can see the database, they just cannot view any changes made on the server. Could it be a permissions issue?
Should not be any permission issues…….if all computers are “mapped” to the same database, you should see the changes.

Your weighting issues might need to be resolved through the backend.
To upgrade, download the patch and double click on it:
Make sure it installs to the path C:\\ProgramFiles\EdusolSams
I prefer not to say Yes to all, but yes until I get to the SASAMS.exe file. This one I prefer to rename 13.6_SASAMS since you end up with many of these “look alike” icons in the EdusolSams folder.
This way I can distinguish which patch is which, and create a desktop shortcut from the correct version/patch.

I have another query. We would like to print blank monthly absentee printouts for pupils. I go to 3.3.1, “learner register”, I leave it blank for all classes, “print attendance registers” and it only prints out one of our Grade 2 classes, that is all.

This mistake is not easily rectified: What date did you register the learner? Did you assign the learner to a class? This learner will appear on you absentee lists for the period that they have been registered and thus will appear on your Quarterly return statistics. An Option is to Archive the learner and restore them next year. Since several Table in the database are now affected, I would suggest you send through your database with all the information above and I will have to go into the backend of the program and try and trace which tables have been affected. Whilst I have your database, you should not do anything on SASAMS until I return the database as any changes you make when I have the database will not be reflected. Regards Mark

Hi I need to do the final term reports on sasams how do I do that . never captured anything, can I use a schedule or I need to capture each and every task first and I never punched the learners register on sasams.
You can only get out – what you put in.
So if you have not captured anything you cant print anything.
I need to install SA-SAMS on a new laptop. The install disk has gone missing. Is there somewhere I can download an install file. I see the patches on Thutong but what about an initial install. Ideal – an install that includes all the latest patches. Better than nothing – an install that gives me a starting point for applying all the patches. Any help appreciated.

Hi, I have an existing data base on my pc . i have now loaded sasams on my laptop. please advise on how to copy my data from the pc and load onto laptop. i tried to back up my data however it does not give me an option to restore it on my laptop.

On your PC, go to C:\Program Files\EdusolSAMS\Data
Inside that folder you will find your database.Copy it to a memory stick.
Go to your Laptop: C:\Program Files\EdusolSAMS\Data and paste it in that folder.
If there is no Data folder on your Laptop, create one and paste your database in there.
NOTE: You can only work on one database , so if you make any changes while on the Laptop, and you want to return to work on your PC, you will need to copy the database back again.
Good day Is it still possible to enter a term mark for a student in version 13.5.0? In the new “Maintain results per subject” menu it does not show the cycles I set up earlier in the year and I’m now a little lost. Will we have to enter a mark for each task completed by a student?

It depends if the grade is a CAPS grade or not.
The Grades doing CAPS will already have the tasks preloaded and you will have to enter a mark for each task. (Uniformity throughout the whole country) !
If it is a non CAPS Grade , you enter your own amount of tasks and activities per term. (One will suffice)
Note from next year ALL grades will be doing CAPS, so all tasks and activities will be preloaded in the future patches !
Is it possible to copy a whole set of marks in excel and paste them in SASAMS. I only manage to copy mark by mark from excel which is slow. Some educators do their recording on excel and all I will need is to copy them to SASAMS because typing them again is laborious.

Archiving a learner is the correct procedure, make sure you are using the latest version of SASAMS (13.4.2) and that you have installed the Spread 6.0.57. All available for download on the http://www.emisec.co.za web site.
If you are familiar with the Access software, it is possible to archive in the back end of the program, but this is not advisable. Feel free to email me your database with the names of the learners you want Archived and I will do this for you and email your database back. You can find your database at c:\\program files \ edusolsams \ data.

Menu 3.3.14 allows for monthly absentee printouts.

Hi! I have 2 questions based on register in sams
1. After mark and educator absent in a column of comment what should I write.
2. When learners were all not attending due to Sadtu rally what must I do in the register?
1. Write down the reason why they were absent.
2. Mark them absent as they were NOT at school and in class.
i encounter problem with Mecer laptops when configuring 3G-cards what am i suppose to do as these laptops do not have e-mail bit on control panel
Did the Department issue “Mecer ” Laptops?

How to upload LURITS feedback fles if the operating system is 64bits and installing 13.4.2 in windows 8
At present, SASAMS is unfortunately not compatible with Windows 8.
The LURITS section advise me that a new patch will be available in July to allow feedback files to be uploaded on a 64 bit operating system.
I got a problem when i want to print learners without subjects I got a window which says;runtime error 339 component dll or one of its depenencies not correctly registered a file is missing or invalid.And it swiched off sams. please help me
You will need to make sure you have installed the Spread. 6.0.57 and the latest patch 13.4.2.
Should that not solve the problem, you should re install the original software.

You need to follow the steps as laid out previously, reminder that you need to assign topics to the whole years assessment before you can validate. Once validated, menu 12.3.11 will ask again to save (a second time). Then you can capture marks and approve them on menu 12.7.16 (where you can edit comments either manually (via topics) or via Drop down list that you have created (via subjects))

I have completed ALL the required information under general school information, yet when I want to move on to human resource information I always get the message “you must complete your cycle information in the general information section before you can continue”. Please ensure that you complete all the required information in order before jumping to a new menu. ie. 1.2 then 1.2 then 1.3 etc before jumping to other menus.
I tried what you recommended this morning but I still get the same message. I have even tried uninstalling SA-SAMS and re-installing it but that doesn’t seem to help.

I was also struggling to get only the ‘final” term marks on SASAMS. So, it means that the entering of marks should start with entering all the assessment tasks for the specific subjects. Not only the final mark can be entered? That is nice because than you are certain that the marks of all the tasks has been uploaded. Will take a bit of time to enter all the marks at the end of term, but it will become better when marks for tasks are entered when they are done. Good upgrading, just a pity it was not released earlier with some guidelines. However, thanks for the upgrade.
How do i capture the years in the phase for i learner?

No, not years in the grade that’s fine. I mean years in a phase. We must enter the number of years in a phase in the schedule for the promotions at the end of the year.

For consumer studies in grade 12 a learner only has to do 8 practical tasks in the first and second terms. In the year plan on sasams there are 12 practicals. How do I remove the 4 practicals of term 3?

Click on the Practical, edit task. Maintain task activities…..you can add and remove….make sure the total weightings for these activities add up to 100%
“Grades 10 and 11: Each learner has to do a minimum of 12 practical tasks during the year, four in each of the
first three terms.

I have tried to delete the practical tasks for term 3 but I get a message saying it is a formal task and it cannot be deleted
I can delete the Task activity on my system…..make sure you have version 14.0 and the Spread installed.
We use a network of two computers for the capture of our data. We did it for the first term and everything worked fine. We used version 14.0.0.
At the beginning of the second term we update to version 14.1.0. Now we have problems.
Although the data from both computer 1 and 2 are captured on the hard disk of computer 1, the user of computer 2 can only see the data captured form computer 2 and visa versa.
The data folder is shared.
For example we cannot do the summary for the absence during the second term.
That sounds very strange……..you need to be sure that both computers are using the same database and that it is not perhaps pointing to the database in the Virtual Store if you are using Windows 7.
My suggestion is to firstly do a compact and repair of the database (Menu 16.4) and then to make certain both PC 1 and PC 2 are using the same shared database.
We have entered marks for a grade 2 class, yet our schedules are still printing without marks. Please help as we need to do reports and give them to the learners.

Please make sure you are using the latest EMIS patch 13.4.1 available on the Thutong web site.
Also, please note that all tasks for a term should be captured before capturing the marks, otherwise weights will not be correctly calculated.
When entering subject sets for individual learners, is there another way of allocating a course to 5 students in a class or must it be done individually?. Hope the question is clear. Thank u. Await your reply
HI, If it is only one subject and only 5 Learners doing that subject, then I would do it manually and individually. But hey you can have many subject sets, then allocate the specific ones to to the required learners. Remembering that you can also allocate the subject set to the entire class with the simple click of a button !

Hei we had a workshop today then we had to delete the training data now I think I deleted mine too. Is there any chances that recover it or its gone I have to start afresh

Which database is actually missing? If it is the training database, we can always replace it.
If it is your schools database, we can look and see if your schools has made a January (or any other submission) and hopefully find your old database.
Should it be a new database that you have just created, and you have looked in the trash bin and it is not there, then I am afraid you will have to start again.
Let this be a lesson to always make regular backups of your database.
Its the school data with all my learners, I last submitted last year but I have an old computer wich has the last years information then I can maybe transfer it to the laptop if possible. Plzzzz kindly help
